This page tells you what TapeHire collects, why, who else sees it, and when we delete it. It covers app.tapehire.com and tapehire.com. Have a question? Email us at support@tapehire.com.
1. What TapeHire is
A company sends you a link. You type your name and email. We email you a code to check that the email is yours. Then you record short video answers to the company's questions. The company's team watches your answers later, gives a rating, and writes notes.
The company that sent you the link is in charge of your interview. We do the work for them. (In privacy law, the company is the "controller" and we are the "processor.") For recruiter accounts, TapeHire is in charge.
2. What we collect
If you are a candidate:
- Your name and email.
- The video and sound of each answer you send.
- A written transcript of what you said in each answer.
- The date and time you started and finished.
- The ratings and notes the company's team adds.
- When you checked the box to say it's OK to record, and which words you saw.
- If the job uses AI: the AI summary and score, and why it gave that score.
- If you ask for a change to how you do the interview: your name, email, and what you wrote.
- A record of who on the team watched your videos and what they decided.
We only use your camera and microphone while you record. Your browser asks you first. The practice question stays on your device. We never save it.
If you are a recruiter: your name, work email, password (scrambled so no one can read it), company name, team, roles, and questions. If you sign in with Google, we get your Google ID, name, email, and profile photo. That is all. We do not get your Gmail, Drive, calendar, or contacts.
If an admin links the company's Google Drive or OneDrive to save interviews, we also keep the email of that account and a locked key that lets us save files there. See section 5.
For everyone: your IP address, browser type, and the pages you open. We use this to keep TapeHire safe and working.
Payments: when a company pays, Stripe collects the card details. We never see or store the full card number.
Cookies: we only use cookies that TapeHire needs to work, like keeping you signed in. Your browser also remembers a reviewer's playback speed. We do not use ad cookies or tracking cookies.
3. How we use it
- To sign you in and keep your account safe.
- To send codes, invites, reminders, and receipts by email.
- To store your videos and play them for the company's team.
- To make a transcript of each answer.
- To have AI write a short summary of your answers for the team.
- To let the team rate answers and write notes.
- To stop bots and abuse.
- To charge companies that pay for TapeHire.
- To fix problems and to follow the law.
AI helps. People choose. AI is off unless the company turns it on for a job. If it is on, we tell you before you record, and you check a box to say OK. Then, when you finish, AI reads the written transcript of your answers. It writes a short summary and a score from 0 to 100 for how well your answers fit the job, and says why. The team can sort people by that score. The AI never sees or hears your video. It does not look at your face, your voice, or your feelings. It is told to look only at what you said about the job, and never at things like your age, race, gender, or accent. If a transcript is missing or too short, AI does not score it, and a person watches instead. The team is told that AI can be wrong and to watch your videos. People on the team make every choice. The AI never turns anyone down.
Need a change? You can ask for one, like more time or the questions in writing. You do not have to say why. Asking will not count against you.
We do not sell your information. We do not use it for ads.
4. Who else sees it
The company that sent you the link sees your interview. So do the teammates it lets in. The company can also make a view-only link for a hiring manager. That link stops working after 1, 7, or 30 days, or sooner if the company turns it off.
The company can also connect its own AI tool, like Claude or ChatGPT, using a key that only its admins can make. That tool can read the company's interviews, including written transcripts and short-lived video links. It can't change anything. The company picks the tool and is in charge of how it is used, and can turn the key off at any time. This is not the same as the AI summary TapeHire makes.
On some plans, the company can also save a copy of each interview to its own Google Drive or OneDrive. The copy has your videos, what you said, and the team's ratings and notes. That copy belongs to the company, not to TapeHire. We do not delete it. The company must delete it there.
The company can also send your name, email, interview status, ratings, notes and short-lived video links to its own tools, like its hiring software, using webhooks, Zapier or our API. Only its admins can set this up. The company picks those tools and is in charge of how they use your data.
We use these companies to run TapeHire. They may only use your data to help us:
- Supabase: Holds our database, signs people in, and stores company logos. They get: names, email addresses, ratings, notes, transcripts, and account details.
- Vercel: Runs the TapeHire website and app, and runs our daily jobs. Its AI Gateway passes transcripts to the AI that writes summaries. They get: everything that passes through the app, such as IP addresses, the pages you open, and transcripts sent to the AI.
- Anthropic: Its AI, Claude, reads the transcript of a finished interview. It writes a short summary and a match score for the team. They get: the job post, the questions, and the transcript of each answer. We never send it your video or your email.
- Mux: Takes in, stores, and plays the videos. Mux also writes the transcript of each answer. They get: video and audio of each answer.
- Resend: Sends our emails, like sign-in codes, invites, and reminders. They get: email addresses, names, and what is in the email.
- Stripe: Takes payments for paid plans. They get: card and billing details of the company that pays.
- Cloudflare Turnstile: Checks that the person using a company link is a real person and not a bot. They get: iP address and basic browser details.
We may also share data if the law makes us, to keep people safe, or if TapeHire is sold or joins another company.
5. Google sign-in and Google Drive
TapeHire's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In plain words:
- We use your Google name, email, photo, and ID only to sign you in and show your name to your team.
- If an admin links Google Drive, we use it only to save interviews in the folder they pick. We can only see that folder and the files we save. We do not read anything else in your Drive.
- We do not sell it or use it for ads.
- We do not use it to train AI.
- People at TapeHire do not read it, unless you say yes, for safety, or when the law says we must.
6. When we delete it
Interviews. Each company picks how long to keep interviews. It can pick from 30 days to 10 years. If it does not pick, it is 1 year. The clock starts when you finish your interview. If you never finish, it starts when you began.
A company can also pick a shorter time for some parts. For example, it can delete videos, transcripts, or AI scores sooner than the rest.
Once a day, a clean-up job looks for interviews that are too old. It deletes each one, with its answers, transcripts, AI summary, ratings, notes, and view-only links. Then it asks Mux to delete the videos. If Mux does not answer, we try again the next day until the videos are gone.
Candidates. When a candidate has no interviews left and no open invite, and their record is older than the company's time limit, the job deletes their name and email too.
Sooner, on request. The company's team can delete a candidate at any time. That deletes all of that person's interviews, videos, transcripts, ratings, and notes with that company.
Copies in Google Drive or OneDrive. If the company saved a copy of an interview to its own Google Drive or OneDrive, our clean-up job and the Delete candidate button do not reach it. The company must delete that copy there.
Sign-in codes. Codes stop working after 10 minutes. About a day after that, we delete the code and the IP address that asked for it. We also delete old sign-ins and bot-check counts after about a day.
Recruiter accounts stay until you ask us to close them. We keep a short activity log for each company, like "a teammate joined." It stays while the company's account is open.
What we can't delete right away. Our database company keeps backup copies for a short time, and then new backups replace them. The companies in section 4 (like Vercel and Resend) keep their own logs for a while. Stripe keeps payment records as long as the law says it must.
7. How we keep it safe
Data is locked (encrypted) when it moves over the internet and when it is stored. Each company can only see its own data. Teammates can be limited to only some roles. Candidates must prove their email with a code. No system is perfect. If there is a data breach, we will tell the people and companies affected, as the law requires.
8. Your rights
You can ask to see, fix, get a copy of, or delete your data. Email support@tapehire.com from the email you used. Tell us what you want.
Candidates can also ask the company that sent the link. That company is in charge of your interview, so we may pass your request to them and help them do it. We check who you are before we act. We answer within the time the law gives us.
California. You have the right to know what we collect, to delete it, to fix it, and to be treated the same if you use these rights. We do not sell or "share" your data for ads.
Europe and the UK. We use recruiter data to give you the service you signed up for and to keep it safe. The company decides the reason for using candidate data. You may also ask us to stop or limit using your data, and you can complain to your local data protection office.
Illinois. TapeHire's AI reads the transcripts of video answers to write a summary and score. Companies hiring in Illinois must follow the Illinois Artificial Intelligence Video Interview Act. For example, they must tell you about the AI and get your OK first. They must also delete your videos within 30 days if you ask. They can do this with the Delete candidate button. If they saved a copy to their Google Drive or OneDrive, they must delete it there too.
9. Children
TapeHire is not for anyone under 16. We do not mean to collect their data. If you think a child gave us data, tell us and we will delete it.
10. Where your data is kept
We and the companies in section 4 may store data in the United States and other countries. Their laws may be different from where you live. When the law asks, we use approved contracts (like the European Commission's Standard Contractual Clauses) to protect your data.
11. Changes
If we change this page, we will change the date at the top. For big changes, we will tell account holders by email or in the app first.
